1. Private body and Information Officer

2. Purpose

This Manual helps requesters identify Veri-AQ records, understand the PAIA request process and see the categories of personal information, recipients, cross-border transfers and security safeguards maintained for POPIA purposes.

3. Categories of records

• Corporate, governance, CIPC, contracts and legal records.
• Student, educator, guardian, subscription and support records.
• Academic uploads, reports, Home School curriculum/attendance/progress/portfolio and Junior learning records.
• Guardian consent/revocation and age-verification records.
• Institution classes/rosters, authorised repositories and reports.
• Privacy requests, incidents, security/audit records, PIIAs, vendor due diligence, DPAs and transfer assessments.
• Finance/tax/accounting, employee/contractor and IP/product records.

4. How to request access

1. Identify the requested record/category and the right to be exercised or protected where required.
2. Use the prescribed private-body request form or other route permitted by the current PAIA Regulations.
3. Submit the request to the Information Officer at privacy@veri-aq.com.
4. Pay any prescribed request/access fee where lawfully applicable and notified.
5. Provide proportionate proof of authority when requesting on behalf of another person, including a child where appropriate.

5. POPIA processing information

Veri-AQ processes identity/contact, guardian/consent, academic/learning, AI Tutor, analysis/result, technical/security, billing, support and institution data for service delivery, account administration, security, support, billing, authorised institution workflows and legal compliance. Approved recipients are recorded in the vendor/subprocessor register.

6. International transfers

Veri-AQ may use approved foreign hosting or processing, including a future Wyoming affiliate, only after the applicable section 72 transfer basis, recipient safeguards and role allocation are documented. A future U.S. entity is not pre-authorised by this Manual merely because its formation is contemplated.

7. Publication and remedies

This Manual should be made available through the Veri-AQ website and principal place of business and maintained in accordance with current Information Regulator requirements. Requesters retain the remedies provided by PAIA and POPIA.

Legal review and mandatory-law notice. This policy framework is designed for Veri-AQ operations and must be reviewed by appropriately qualified counsel before a new entity, jurisdiction, school contract, under-13 U.S. workflow or materially new processing purpose is launched. Nothing in this document excludes rights or duties that applicable law does not permit the parties to waive.
