Academic Quality. Verified.
| Category | Baseline | Notes |
|---|---|---|
| Past-paper source uploads — not approved | 30 days | Earlier deletion where operationally possible. |
| Past-paper source uploads — approved for the shared past-paper library | 12 months | Approval status is the trigger. Unapproved uploads follow the 30-day rule. |
| Adult Student raw/submitted content | 6 months | Earlier user deletion permitted. |
| Educator raw/submitted content | 6 months | Institution may configure an approved shorter period. |
| Junior submitted content / retained tutor content | 6 months | Earlier deletion and consent withdrawal rules apply. |
| Home School submitted content | 12 months | Includes assignments/assessments and retained submitted educational content. |
| Home School portfolio evidence/photos | 12 months | Guardians should export longer-term educational evidence they wish to preserve. |
| Comparison corpus entries, where a corpus is enabled | 12 months | No global cross-customer corpus is currently operated. Where corpus processing is enabled, entries are deleted 12 months after submission. |
| Handwriting verification profiles | 6 months | Deleted at expiry. The comparison finding is retained; the underlying handwriting profile/feature data is not. |
| Generated reports | While account active or approved shorter period | Subject to user/institution deletion and lawful record needs. |
| Temporary extraction/queue/cache | 24 hours after successful processing | Shorter where technically possible. |
| Guardian consent/revocation | Defensible evidence period | May outlast optional content to prove lawful processing. |
| Security/audit logs | Risk-based period | Exclude document content and secrets. |
| Billing/invoices | Applicable legal/accounting period | Finance-controlled. |
| Backups | Rolling approved lifecycle | Restore must respect deletion state. |
Veri-AQ does not currently operate a global cross-customer submission or fingerprint corpus, and no corpus processing is active. The retention schedule states the period that would apply if such processing were enabled, so that no corpus entry can exist without a defined deletion date. Introducing corpus processing remains a materially new purpose and will not begin until it has completed legal and privacy assessment and the policy suite has been updated.
Migration, replication, failover, restoration or transfer between affiliated entities does not restart a retention period. The original submission/creation timestamp remains authoritative. Source and target copies must be included in the migration/decommission evidence.
Legal review and mandatory-law notice. This policy framework is designed for Veri-AQ operations and must be reviewed by appropriately qualified counsel before a new entity, jurisdiction, school contract, under-13 U.S. workflow or materially new processing purpose is launched. Nothing in this document excludes rights or duties that applicable law does not permit the parties to waive.
