VERI-AQ TERMS AND CONDITIONS
These Terms and Conditions (“Terms”) govern your access to and use of the Veri-AQ website, platform, applications, tools, reports, subscriptions and related services (collectively, the “Service”). By creating an account, purchasing a subscription, accessing Veri-AQ or using any part of the Service, you confirm that you have read, understood and agreed to these Terms. If you do not agree to these Terms, you should not use Veri-AQ.
Veri-AQ is an academic quality, verification and learning-support platform designed to assist students, educators and institutions with the review, assessment and improvement of academic work. Depending on the subscription or service selected, Veri-AQ may provide functionality including, but not limited to:
• plagiarism and similarity analysis; • AI-writing indicators; • grammar and spelling review; • assignment-requirement checking; • citation generation; • citation and reference checking; • source-validity analysis; • fabricated or unverifiable reference detection; • academic writing-quality assessment; • structure analysis; • editable feedback; • assignment-readiness assessments; • indicative or approximate marking; • study and exam-preparation tools; • educator review tools; • student comparison or similarity tools; • class analytics; • student-support indicators; • improvement reports; and • downloadable or generated reports. The features available to a user depend on the applicable subscription plan, account type and current Veri-AQ product offering.
Veri-AQ is an academic-support and verification tool. Veri-AQ does not guarantee:
• any particular academic mark or grade; • acceptance of an assignment; • acceptance by a university, school, lecturer or educator; • that a document will be considered plagiarism-free by another system; • that another AI-detection system will produce the same result;
• that an academic institution will agree with Veri-AQ's analysis; • that every error or academic issue will be identified; or • that information generated through the Service will be completely free from errors. Any score, estimated mark, readiness score, AI indicator, similarity result, recommendation, analysis or feedback produced by Veri-AQ should be treated as an academic-support indicator rather than an official academic determination. Final academic decisions remain with the relevant educator, institution, examination body or other authorised person.
Veri-AQ is intended to help users review, verify, improve and understand their own work. The Service may not be used to:
• facilitate academic fraud; • impersonate another student; • submit another person's work as your own; • circumvent academic-integrity procedures; • falsify sources or references; • manipulate plagiarism or AI-detection systems; • interfere with an institution's assessment procedures; or • engage in conduct prohibited by an applicable educational institution. Users remain responsible for ensuring that their use of Veri-AQ complies with their institution's academic-integrity policies. Veri-AQ reserves the right to suspend or terminate accounts used for fraudulent, abusive or unlawful purposes.
Some Veri-AQ functionality requires an account. You are responsible for:
• providing accurate registration information; • maintaining the security of your account; • keeping your login credentials confidential; • preventing unauthorised access to your account; and • notifying Veri-AQ if you believe your account has been compromised. You may not sell, transfer, share or commercially redistribute account access unless expressly permitted under an institutional or organisational agreement. Veri-AQ may implement reasonable security measures, usage restrictions and account controls to prevent fraud, abuse and unauthorised account sharing.
Veri-AQ may offer free and paid subscription plans. Features, usage allowances, processing limits and other benefits may differ between plans. The price, billing frequency and features applicable to a subscription will be displayed before purchase. By purchasing a paid subscription, you authorise Veri-AQ and/or its authorised payment processor to charge the applicable subscription fee using your selected payment method.
Unless otherwise expressly stated, subscriptions automatically renew at the applicable renewal interval until cancelled.
Where automatic renewal applies, the subscription will renew using the payment method associated with the account unless the subscription is cancelled before the next renewal date. The applicable subscription fee may therefore be charged automatically on the renewal date. Where required by applicable law, Veri-AQ will provide any legally required notifications relating to the expiry, renewal or continuation of a subscription.
You may cancel your Veri-AQ subscription at any time through the cancellation functionality made available through your account or through another cancellation method provided by Veri-AQ.
What happens when you cancel? Cancellation prevents the subscription from renewing at the next scheduled renewal date. Cancelling does not ordinarily terminate the paid subscription immediately. Unless otherwise required by law:
• your subscription remains active until the end of the period for which you have already paid; • you may continue using the subscription features during that period; • you will not be charged for the following subscription period; and • your paid subscription will terminate when the next renewal date arrives. For example, if a monthly subscription renews on the 20th of every month and you cancel on the 10th, your paid access will ordinarily continue until the 20th. The subscription will then end instead of renewing. Cancellation does not automatically create a right to a refund for the unused portion of a billing period. Any statutory cancellation rights available under applicable consumer-protection legislation remain unaffected.
8.1 General Refund Rule Except where otherwise required by applicable law, Veri-AQ does not provide refunds merely because a user:
• changes their mind; • no longer requires the Service; • forgets to cancel before a renewal date; • does not use the Service; • uses the Service less frequently than expected; • disagrees with an analysis, score or recommendation produced by the Service; • receives a different result from another plagiarism, AI-detection, grammar, citation or academic-analysis system; • receives a mark or academic result different from an estimated or indicative result provided by Veri-AQ; or • cancels a subscription during an already-paid subscription period.
8.2 Refunds Where Veri-AQ Is Not Functional A refund may be provided where the Veri-AQ Service purchased by the user is materially non-functional because of a fault attributable to Veri-AQ.
For the purpose of this policy, “non-functional” generally means that a material part of the paid Service cannot reasonably be accessed or used for its intended purpose because of a Veri-AQ system failure. Where reasonably possible, Veri-AQ must first be given an opportunity to investigate and restore the affected functionality. If Veri-AQ confirms that:
2. the problem resulted from Veri-AQ's systems or Service; 3. the user could not reasonably use the relevant paid functionality; and 4. the problem could not be corrected within a reasonable period, Veri-AQ may issue an appropriate refund, credit or other remedy.
8.3 What Is Not Considered a Veri-AQ System Failure Unless required otherwise by law, refunds will not ordinarily be provided where the problem results from circumstances outside Veri-AQ's reasonable control, including:
• the user's internet connection; • the user's device; • unsupported or outdated software; • incorrect account or login information; • the user's failure to follow reasonable instructions; • unsupported document formats; • corrupted or damaged files uploaded by the user; • third-party software or services; • payment-provider interruptions; • institution-controlled networks or security settings; • browser extensions; • VPNs, firewalls or security software; • scheduled maintenance; • reasonable emergency maintenance; • force-majeure events; or • misuse of the Veri-AQ platform.
8.4 Statutory Consumer Rights Nothing in this Refund Policy is intended to exclude, restrict or waive any consumer right or remedy that cannot lawfully be excluded under applicable law. Where applicable consumer-protection legislation requires Veri-AQ to provide a refund, cancellation right, credit or other remedy, the applicable legislation will prevail over any inconsistent provision of these Terms.
Veri-AQ provides a digital service. No physical product is delivered unless Veri-AQ expressly offers a physical product separately.
Subscription Delivery Paid subscription access is ordinarily activated electronically after successful payment authorisation. Delivery may include:
• activation of paid functionality within your Veri-AQ account; • access to online tools;
• access to dashboards; • increased usage allowances; • educator or institutional functionality; • electronically generated reports; or • other digital functionality associated with the purchased plan. In most cases, access should be available immediately or shortly after successful payment processing. Payment verification, fraud-prevention procedures or technical processing may occasionally delay activation.
Reports, analyses, assessments and other Veri-AQ outputs are delivered electronically. Depending on the applicable feature, results may be:
• displayed within the user's account; • made available through a dashboard; • available for electronic download; or • delivered through another digital method identified by Veri-AQ. Processing times may vary depending on:
• document length; • document complexity; • system demand; • selected analysis tools; • file type; • third-party service availability; and • other technical factors. Any processing-time estimate is an estimate and is not a guarantee unless Veri-AQ expressly states otherwise.
Subscription prices will be displayed on the Veri-AQ website or purchasing interface. Prices may be changed from time to time. Unless otherwise stated, a pricing change will not retrospectively alter the price of a subscription period that has already been paid. Any change applicable to a future renewal will be implemented subject to applicable law and any notification requirements. Taxes, duties, transaction charges or other applicable charges may be added where required.
Payments may be processed through third-party payment providers. By submitting payment details, you:
• confirm that you are authorised to use the selected payment method; • authorise the applicable charge; and • agree to any additional lawful terms imposed by the payment processor. Veri-AQ does not necessarily store complete payment-card details directly.
Payment processing may be subject to the security and fraud-prevention procedures of the applicable payment provider.
If a renewal payment fails, Veri-AQ may:
• retry the payment; • notify the account holder; • restrict paid functionality; • downgrade the account; • suspend the subscription; or • terminate paid access. Any outstanding amounts lawfully owed remain payable.
Veri-AQ may offer free accounts, free functionality, promotional access or trials. Free functionality may:
• contain usage restrictions; • have reduced features; • have processing limitations; • differ from paid functionality; and • be modified or discontinued. Where a trial converts into a paid subscription, the applicable price and renewal terms must be presented to the user in accordance with applicable law.
Users may upload assignments, academic documents, instructions, sources, reference lists and other content (“User Content”). You retain ownership of your User Content. By uploading User Content, you grant Veri-AQ the limited rights necessary to:
• receive the content; • temporarily or otherwise store it as reasonably required; • process it; • analyse it; • generate requested outputs; • provide the Service; • maintain security; • prevent fraud or abuse; and • comply with legal obligations. This permission does not transfer ownership of the user's academic work to Veri-AQ. Details regarding storage, retention, deletion and processing of personal information should also be addressed in VeriAQ's Privacy Policy.
You must have the lawful right or authority to upload any content submitted to Veri-AQ. You must not knowingly upload:
• unlawfully obtained documents; • confidential documents you are not permitted to process; • another person's copyrighted work where you have no lawful right to use it; • information obtained through unlawful access; or • material whose processing would otherwise violate applicable law. Educators and institutions using Veri-AQ are responsible for ensuring that they have an appropriate legal basis or authority to process student work through the platform.
Unless otherwise stated, the Veri-AQ platform and its proprietary elements are owned by or licensed to Veri-AQ. This includes, where applicable:
• software; • source code; • algorithms; • platform architecture; • proprietary assessment methodologies; • scoring systems; • databases; • designs; • interfaces; • logos; • trade names; • graphics; • reports and report structures; • proprietary workflows; and • original website content. No rights are transferred to a user except the limited right to use the Service in accordance with these Terms.
Users may not:
• attempt to reverse-engineer Veri-AQ; • copy or reproduce proprietary platform functionality unlawfully; • circumvent usage limits or access controls; • use automated systems to scrape the platform without permission; • introduce malware or harmful code; • attempt to gain unauthorised access to another account; • interfere with platform security; • overload or deliberately disrupt the Service; • use Veri-AQ for unlawful purposes; • resell individual subscriptions without authorisation; • fraudulently manipulate academic results; or
• use Veri-AQ in a manner that infringes the rights of another person.
Certain Veri-AQ functions may use artificial intelligence, machine learning, statistical analysis, rules-based processing or third-party technology. Users acknowledge that automated analysis is probabilistic and may occasionally produce:
• incorrect results; • false positives; • false negatives; • incomplete assessments; • different results from other platforms; or • recommendations requiring human review. AI-detection results in particular should not automatically be treated as proof that academic misconduct occurred. Where Veri-AQ is used by educators or institutions, appropriate human review should occur before significant academic or disciplinary decisions are made.
Veri-AQ may integrate with third-party services such as:
• payment processors; • cloud infrastructure; • databases; • artificial-intelligence providers; • plagiarism or similarity services; • authentication providers; • analytics services; or • external academic databases. Veri-AQ is not responsible for interruptions caused solely by third-party systems beyond its reasonable control. Where appropriate, third-party processing of personal information will be governed by applicable privacy and dataprotection requirements.
Veri-AQ processes personal information in accordance with its Privacy Policy and applicable data-protection legislation. Where South African data-protection law applies, this includes the Protection of Personal Information Act 4 of 2013 (“POPIA”). The Privacy Policy should be read together with these Terms. Users should review the Privacy Policy to understand how Veri-AQ collects, processes, stores, shares and protects personal information.
Because Veri-AQ may be used within educational environments, some users may be minors. Where consent, parental or guardian authorisation, institutional authority or another lawful basis is legally required for a minor's use of the Service or processing of their personal information, the relevant requirements must be satisfied.
Schools, institutions, parents, guardians and account holders are responsible for ensuring that Veri-AQ is used in accordance with applicable laws and institutional requirements. Veri-AQ may implement additional safeguards for younger users.
Veri-AQ aims to maintain reliable access to the platform but does not guarantee uninterrupted availability. The Service may occasionally be unavailable because of:
• maintenance; • upgrades; • security measures; • technical failures; • infrastructure problems; • third-party outages; • circumstances beyond Veri-AQ's reasonable control; or • emergency interventions. Veri-AQ may modify, improve, replace or discontinue individual features as the platform develops. Where changes materially affect a paid subscription, Veri-AQ will act in accordance with applicable consumer-protection requirements.
To the fullest extent permitted by applicable law, Veri-AQ will not be liable for indirect, incidental, consequential or special losses arising from use of the Service. This may include loss resulting from:
• academic decisions; • marks or grades; • institutional disciplinary decisions; • reliance on an estimated mark; • reliance on an AI indicator; • reliance on plagiarism or similarity analysis; • loss of academic opportunity; • loss of data resulting from circumstances outside Veri-AQ's reasonable control; or • third-party services. Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by law.
The user remains responsible for reviewing academic work before submission. Veri-AQ should be used as an additional quality-assurance tool and not as a substitute for:
• the user's own academic judgment; • lecturer or educator instructions; • institutional regulations; • official marking criteria; • professional advice; or • independent verification where appropriate.
Veri-AQ may suspend, restrict or terminate an account where there is reasonable evidence of:
• fraud; • unlawful activity; • serious or repeated breach of these Terms; • unauthorised access; • misuse of the platform; • deliberate interference with the Service; • payment fraud; or • activity presenting a material security risk. Where reasonably appropriate and legally required, Veri-AQ will provide notice before termination.
Veri-AQ may update these Terms from time to time to reflect:
• new functionality; • changes in law; • changes in business operations; • security requirements; • changes to subscription structures; or • improvements to the Service. The current version will be made available through the Veri-AQ website. Where a material change affects existing paid subscribers and applicable law requires advance notification or consent, Veri-AQ will comply with those requirements.
By using Veri-AQ, you agree that communications relating to your account or the Service may be provided electronically where permitted by law. These may include:
• account notices; • payment confirmations; • subscription information; • renewal notices; • cancellation confirmations; • security notifications; • changes to policies; and • service communications. Marketing communications will be managed separately in accordance with applicable law and the user's communication preferences.
These Terms are not intended to exclude, limit or waive rights that cannot legally be excluded. Where applicable, users retain rights afforded to them by South African consumer-protection and electronic-commerce legislation, including the Consumer Protection Act 68 of 2008 and other applicable legislation.
If a provision of these Terms conflicts with a mandatory consumer-protection requirement, the mandatory legal requirement will prevail to the extent of the conflict.
Unless another law must apply because of mandatory consumer or jurisdictional requirements, these Terms are governed by the laws of the Republic of South Africa. Any dispute will be dealt with in accordance with applicable South African law, without preventing a consumer from exercising any statutory right to approach an appropriate regulator, ombud, tribunal or court.
If any provision of these Terms is found to be unlawful, invalid or unenforceable, that provision will be interpreted or limited to the minimum extent necessary. The remaining provisions will continue to apply.
If Veri-AQ does not immediately enforce a right under these Terms, this does not mean that Veri-AQ has waived that right.
These Terms, together with the Privacy Policy, subscription information, applicable institutional agreements and any other policies expressly incorporated into them, constitute the agreement governing the user's use of Veri-AQ.
For convenience: Refunds Refunds are only ordinarily provided where the paid Veri-AQ Service is materially non-functional because of a fault attributable to Veri-AQ and the issue cannot reasonably be corrected. No refund is ordinarily provided simply because a user changes their mind, does not use the subscription or cancels before the subscription period ends. This is subject to any mandatory rights available under applicable law.
Cancellations Users may cancel subscriptions at any time. Cancellation means: The subscription will not renew when the next renewal date arrives. Unless applicable law requires otherwise, the subscription remains available until the end of the already-paid billing period. No further subscription payment will be charged after cancellation unless the user subsequently purchases or reactivates a subscription.
Delivery Veri-AQ is a digital service. No physical delivery is required for ordinary Veri-AQ subscriptions.
Paid functionality is delivered electronically by activating access within the user's account after successful payment processing.
Questions regarding:
• subscriptions; • payments; • cancellations; • refunds; • technical problems; • privacy; • account access; or • these Terms and Conditions may be submitted through Veri-AQ's designated customer-support channel.
